PIPEDRIVE TO HUBSPOT MIGRATION

Pipedrive to HubSpot migration when sales needs the full picture.

Pipedrive may be doing a good job with your deals. But if someone has to check a separate email tool to see where an enquiry came from, then another system for customer questions, the work around your CRM starts to pile up.

We’ll help you decide whether moving to HubSpot is worth it, bring across the records your team needs and show people how to use the new setup. You don’t have to buy every HubSpot tool to get started.

BEYOND THE PIPELINE

What will sales know before the call?

When an enquiry comes in, sales needs to see what the person asked for, whether they’ve had an email and who promised to call. That’s hard when the form, inbox and deal are in different places.

In HubSpot, the enquiry can sit beside the contact and deal. Sales sees its notes and next step; marketing sees which campaign brought the person in. Customer support can join that picture if needed.

You don’t have to move your website or support process at the same time. We’ll choose what your team needs now and check the handovers before switching.

CLCK is a HubSpot Platinum Solutions Partner.

HUBSPOT COVERAGE

Which HubSpot tools do you need now?

HUBSPOT

Sales Hub

Manage deals and the next call with pipelines and tasks. Don’t rebuild stages nobody uses.

HUBSPOT

Marketing Hub

Pass sales the context behind an enquiry. Check email permissions and live follow-up before moving it.

HUBSPOT

Service Hub

Track customer questions and support tickets after a deal closes, if that’s part of the move.

HUBSPOT

Content Hub

Your website can stay where it is. Consider Content Hub if moving pages is part of the plan.

HUBSPOT

Data Hub

If other tools are staying, check what details need to pass between them.

YOUR CHOICE

Keep what still works

Your accounting system or email tool might stay. Check what needs to connect and who updates each record.

You may only need the CRM and sales tools at first. If marketing or support is part of the move, we’ll check what those teams need too. HubSpot features and costs vary by plan, so we’ll look before you buy.

MIGRATION PROCESS

How do we move your Pipedrive work into HubSpot?

01

See what the team uses

We look at how people find contacts, move deals and record calls in Pipedrive. Then we check where enquiries and customer questions live. That tells us what must work on day one in HubSpot.

02

Move the right records

We agree which contacts, companies, deals, stages, fields and owners belong in HubSpot. We check duplicates, notes, activities and email history, then test how records connect before the switch.

03

Get people comfortable

We walk sales through finding a customer, updating a deal and seeing the next action. If marketing or support is moving too, we check those handovers and help with questions after launch.

We’ll deal with duplicates and muddled fields that could spoil the move before importing. Some older records may be better archived, and some tidying can wait until the team is using the new setup. The order depends on what sales needs to trust on day one.

A native connection can share selected data while both tools are in use. An export, cleanup and import may fit better when the pipeline or fields need changing. We’ll check what each path can actually move, test it and agree when the team stops updating Pipedrive.

BEFORE YOU MIGRATE

What should we settle before moving?

Can sales keep using Pipedrive while we prepare the move?

Which contacts and companies are duplicates, and who knows the right details?

Do our deal stages still match the way we sell?

Which custom fields and owners does the team rely on each day?

How much note, activity and email history will sales need?

Would a connection between systems help, or is it time to switch?

Which HubSpot tools do we need now, and which can wait?

Who’ll own the reports and help the team after the move?

COMMON TRAPS

Where can a Pipedrive migration get messy?

01

Copying every old deal stage

If nobody can explain a deal stage, copying it won’t help. Ask sales what each stage means first.

02

Expecting a sync to clean the records

A connection can pass records between tools. It won’t sort duplicates or tell your team when to stop updating Pipedrive.

03

Losing the context behind a deal

Ask sales which notes, calls and emails they look up before a meeting. Check what can move and what needs an archive.

04

Sending emails before checking permission

If marketing moves too, check unsubscribes and what people agreed to receive. A sales contact isn’t automatically someone you should put on a campaign list.

05

Waiting until every record is perfect

Fix duplicates and fields that could spoil the import first. Older records that won’t affect live work may be archived or tidied later. We’ll agree the order rather than let cleanup hold everything up.

06

Trusting a dashboard too early

Deal totals mean little if you can’t see where enquiries came from. Agree what sales records, then test a few real examples.

FAQS

Pipedrive to HubSpot migration FAQs.

How long does a Pipedrive to HubSpot migration take?

It depends on your pipelines, the history you need and whether other tools are moving too. We’ll check your setup before estimating the work.

How much does a Pipedrive to HubSpot migration cost?

Moving contacts and deals is one job. Sorting duplicates, bringing over history, rebuilding follow-up and training add more work. We’ll scope those parts before giving you a price. Your HubSpot subscription is a separate cost.

Do we lose any data during the migration?

We’ll check what can move, what needs an archive and how the records look after a test import. Some history may not move in the same form, so we’ll flag that before the switch.

What happens to our existing Pipedrive pipelines and custom fields?

We ask sales which stages and fields it uses, then decide what to keep, rename or leave behind. We’ll check sample deals before the switch so the pipeline still makes sense.

Will the team need to relearn everything?

There’ll be a new screen to learn. We’ll show your team how to find a contact, update a deal and see what needs doing next. They can try real examples before the switch.

Can we keep using Pipedrive while we transition?

Often, yes, while we prepare HubSpot. We’ll agree when the final Pipedrive changes are copied or checked and when the team starts updating HubSpot instead. Keeping both live without an owner or cutover date can leave two different versions of a deal.

What happens to historical activities, notes, and emails?

Show us what sales looks up before a call. We’ll check which notes, activities and emails can move, and how they’ll appear. Anything left behind needs a place your team can find it.

Should we use the native Pipedrive to HubSpot connector?

Maybe. A connection can share selected records while both tools are in use. An export and import may give more control if fields or pipelines need changing. We’ll check what each method carries before choosing. Neither fixes duplicates for you.

What happens to our existing Pipedrive workflows and automations?

We list what starts each reminder or email and ask whether the team still needs it. Then we rebuild and test the follow-up that earns its place in HubSpot. A rule tied to an old deal stage or another email tool may need changing rather than copying.

Should we start with one HubSpot hub or move onto multiple hubs from day one?

Start with the work your team needs to do now. If sales is the main problem, you may not need to move the website or support queue as well. If marketing enquiries or customer questions are getting lost between tools, bringing those teams in may make sense. We’ll check the features and costs before you commit.

Can CLCK help choose the right HubSpot plan?

Yes. We’ll check what each team needs, which plan includes those features and what can stay in your current tools. We’re a HubSpot partner and may receive commission, but you shouldn’t buy features you won’t use.

Can CLCK support us after the migration?

Yes. We can train the team on its own deals and handovers, then help when a report looks wrong or a follow-up step isn’t working. We’ll agree what help is included in your migration and what ongoing work you want afterwards, rather than assuming every change is part of the move.
