SALESFORCE TO HUBSPOT MIGRATION

Salesforce to HubSpot migration when your CRM feels harder than the work.

Salesforce may be doing everything your business needs. But if a small change needs an admin, sales keeps notes elsewhere and marketing can’t see what happened to an enquiry, it’s worth asking whether the setup still fits.

We help Australian teams compare fixing Salesforce with moving to HubSpot. If a move makes sense, we’ll work through the records, costs, connected tools and training before anyone switches systems.

MIGRATION COMPLEXITY

Why can a Salesforce move get complicated?

01

Your setup has its own rules

A rule may block incomplete deals. We check those rules, access to records and connected tools before moving anything.

02

Every old field doesn’t need a new home

Salesforce leads and accounts don’t always line up with HubSpot contacts and companies. We check what people need, then choose where it belongs.

03

A connector can move the wrong things too

HubSpot’s native Salesforce connector can sync selected records while both systems run. Agree who owns each detail, the sync direction and when it stops.

04

Two live CRMs need an end date

Keeping Salesforce running during setup can help. But updating both without a handover leaves people unsure which deal or list is current.

WHAT GETS MAPPED

What needs checking before the records move?

MAPPING

People, companies and deals

Check which leads become contacts, accounts become companies and opportunities become deals. Test the links between them.

MAPPING

Fields and custom records

Keep details such as territory or renewal date. A custom record for a site or subscription may need a HubSpot custom object or a simpler home.

MAPPING

Deal stages

Ask sales what each stage means. Leave unused stages behind without accidentally changing the forecast.

MAPPING

Owners and access

Check who owns and can edit records. Test HubSpot permissions with real roles before rollout.

MAPPING

Notes and history

Ask which calls, emails, tasks and old notes sales needs. Test how they appear and archive what stays behind.

MAPPING

Reports people rely on

Agree what counts as a lead or won deal. Compare familiar Salesforce reports before trusting a new dashboard.

MAPPING

Other connected tools

List the forms, calendars, Airtable bases and other tools exchanging customer details. Decide what stays and who fixes mismatches.

MAPPING

The way people will work

Show sales where to update a deal and marketing where to check an enquiry. Train with their own examples.

WORKING IN HUBSPOT

What could your team do more easily in HubSpot?

01

Find the next step faster

A rep can open a contact, see the company, deal, last conversation and next task together. That only works if we bring across the right history and leave behind fields nobody needs.

02

Make updates less of a chore

When fields and stages match the real sales process, people have a better reason to keep deals current. We test daily tasks with the team instead of assuming a new interface will change habits on its own.

03

Give marketing and sales context

A form enquiry can sit alongside the contact and deal, so sales can see why someone got in touch. Marketing can check what happened next without chasing a separate spreadsheet.

04

Know who keeps it working

Someone still needs to own fields, access, reports and questions after launch. That might be an in-house CRM manager, a lighter internal owner or a partner helping alongside your team.

A simpler screen alone won’t make a CRM easier to use. The records have to make sense, people need to know what to update and the reports must answer the questions your business actually asks. HubSpot features and subscriptions vary by plan, so we’ll check what you need before you buy.

MIGRATION PROCESS

How do we make the move without leaving people guessing?

01

Check what works today

We look at the Salesforce records people open, the reports they trust, the permissions they need and the tools sending data in and out. We ask sales and marketing what slows them down. Then we agree what to move, what to change and what can stay in an archive.

02

Move and test the records

We choose between the native connector, controlled exports and imports, or a staged mix based on what needs to move. We check sample contacts, companies, deals, owners and history in HubSpot. We also agree who updates each system while both are running and when that changes.

03

Help the team make the switch

We test the reports and follow-up steps people will actually use, then walk the team through finding a customer, updating a deal and handing an enquiry over. After cutover, someone needs to own questions, data cleanup and changes as the team settles in.

BEFORE YOU MIGRATE

What should you settle before moving?

Would fixing Salesforce cost less and solve the problem for now?

Which leads, contacts, accounts and deals does sales still need?

Do custom objects or restricted records need special handling?

Which notes, emails and older deals must stay easy to find?

Would a temporary connector help, or would a controlled import give us more control?

Which reports and connected tools have to work on day one?

When will people stop updating Salesforce and start using HubSpot?

Who will own the CRM and train new starters afterwards?

COMMON TRAPS

Where can a Salesforce migration go wrong?

01

Copying every old field

A field added for a campaign years ago might no longer mean anything. Ask who uses it before creating the same clutter in HubSpot. Keep the details that help someone sell, serve a customer or report accurately.

02

Switching on sync before agreeing ownership

If a contact changes in both CRMs, which version wins? Agree the rules and test a few real records before you connect everything. A controlled export may be better when old fields need significant cleanup.

03

Assuming a new screen changes habits

If reps kept notes outside Salesforce, ask why. Give them a way to find a customer, log the conversation and see the next action in HubSpot. Let them try it with their own deals before the switch.

04

Leaving two places to check

Marketing may move first while sales stays in Salesforce. That can work for a while, but list syncing and handover take attention. Set a named owner and a decision point for ending the split.

05

Losing the story behind a deal

Ask which old notes and emails people read before a customer call. Test whether they transfer in a form the team can use. Keep an accessible archive for anything that can’t or shouldn’t move.

06

Leaving nobody in charge afterwards

Reports, permissions and new starters still need attention after cutover. Name an internal owner, show people who to ask and agree what outside help you’ll need. Migration isn’t finished when the records appear.

FAQS

Salesforce to HubSpot migration FAQs.

How long does a Salesforce to HubSpot migration take?

That depends on your records, custom objects, history, connected tools and any sales process changes. We’ll check those things and agree a cutover plan before giving you a timeframe. A contact import and a staged move across teams are different jobs.

How much does a Salesforce to HubSpot migration cost?

The price depends on cleanup, custom records, history, integrations, reports and training. We’ll scope those parts first. HubSpot subscriptions and other tools are separate costs, so compare the full running cost with fixing Salesforce. Moving doesn’t automatically mean a cheaper bill.

Can HubSpot replace Salesforce completely?

For some teams, yes. Decidr started with marketing in HubSpot, then moved sales fully off Salesforce. Check the features, reports and integrations your team needs and who’ll manage the new CRM. If Salesforce works well, fixing or connecting it may make more sense.

Should we use the native Salesforce and HubSpot connector?

It can share selected records during a transition. We’ll check the fields, ownership and what happens when values disagree. A controlled export, cleanup and import may fit better if the old setup needs changing. Neither route fixes bad records on its own.

What Salesforce data can be migrated to HubSpot?

Leads, contacts, accounts, opportunities, owners, fields and some activity history can be assessed for moving into HubSpot contacts, companies and deals. Calls, notes, emails, tasks and old deal history need a closer look. What moves and how it appears depends on the method and your setup. Keep an accessible archive for anything left behind.

What happens to Salesforce custom objects?

A custom object is a record for something like a property or subscription. We’ll check whether it needs a HubSpot custom object, a field on another record or an archive. We’ll also check your proposed HubSpot plan and permissions before promising the same setup.

Will the sales team need to change how they work?

There’ll be a new place to find people and update deals. We’ll show sales how to look up a customer, change a stage and see the next task. Let people try their own examples before cutover and know who to ask afterwards.

Can we run Salesforce and HubSpot at the same time?

Often, yes. Salesforce may stay live while HubSpot is tested, with a connector or controlled final import. Agree who updates each CRM, how changes are checked and when sales switches. Without an owner and cutover plan, you risk conflicting versions of a deal.

Do we need a full-time CRM manager after moving to HubSpot?

Not always. Decidr has a full-time in-house CRM manager, but a smaller team may have an internal owner and outside help. Somebody still has to handle access, fields, training and data quality. We can agree ongoing help if you need it.

Why move from Salesforce to HubSpot instead of fixing Salesforce?

Fixing Salesforce may be better if people use it well and the changes are small. Moving may make sense when sales avoids it, marketing can’t see follow-up and admin work keeps piling up. Compare subscriptions, work and ongoing ownership before deciding.

Can CLCK support us after the migration?

Yes. We can help with training, reports, follow-up and handover after the switch. We’ll agree what’s included in the migration and what ongoing help you want. Your team should still know who owns the system day to day.
